ApplicationIntegrated Tracking and Document Data Handling Workflows

KYOS combines two of the key workflows for successful RAC defense; tracking and record data mining, into a single case management based platform. This powerful approach lets your team understand what is being tracked and how. You can now link tasks to team members to timelines-tracking not just deadlines but task due dates and quality of response.

RAC Audit Manager: Workflow Details

RAC Request Letter Starts the Process

  • The Request for records letter is received and scanned.
  • The relevant data is extracted and entered into the system.
  • KYOS RAC Audit Manager sets up a calendar of events with all inital deadlines and alerts initialized.
  • Required resources - people and departments - are entered by the coordinator
  • Tasks are automatically generated based on the roles of resources, and linked directly to the calendar
Record management is linked directly to tasks and people, unifying deadlines, tasks and charts.

Scanning the Records is controlled and visible

  • Records are automatically logged and followed as they are scanned or entered into the system.
  • Scanning can be either centralized or distributed.
  • Records that are not scanned within the designated time frame are flagged and alerts are issued.
  • KYOS Intelligent Page Recognition automatically classifies, sorts, and stores working copy images within its archive.
KYOS provides a complete scanning module as well as the ability to port previous record scans into KYOS RAC Audit Manager

Automatically generate the responses

  • Records for delivery to the RAC may be output as Paper, CDs/DVDs, or Web-based posting support
  • Autogenerated Letters may be attached to the records
  • Date of mailings, insurance bills and tracking numbers are linked directly to the mailed records
  • Receipt information is tracked and logged, with appropriate alerts available and links to delivery services.

Collaboratively Review the Issues and Develop the Responses

  • Reviewers annotate medical records
  • Annotations are completely searchable and linked to the specific location in the record
  • Web 2.0 interfaces allow tracking of annotations and authors

Reviews and Responses are linked both to team members and the records management system

Making sure no tasks or deadlines are missed

  • Track and monitor all deadlines and tasks
  • Link revenue at risk to specific workflow and documentation practices
  • Know where to focus resources, based on urgency, dollar values
  • Track critical billing data as metadata within the KYOS system, linked directly to audit issues

Learn and adjust

  • Analyze and learn from historical responses linked to successes and failures in audits for institutional learning
  • Change and improve documentation practices to fit required data gathering
  • Use evidence to make form changes that ease documentation burden and facilitate data entry

OrdersIndividual and team access, action, and accountability

Each of the RAC team members has specific tasks that are assigned, monitored, measured, and consolidated by the RAC Coordinator. Each team member has the access, view, and tools needed to accomplish assigned tasks on time.

PaymentsDelivering the Deliverables

KYOS RAC Audit Manager automatically alerts team members as deadlines approach and notifies the RAC Coordinator of unfinished tasks so that nothing falls through the cracks. All record and billing evidence and annotations created by the team in the KYOS e-room are automatically consolidated for inclusion with the Appeals Letter for a solid and thorough evidence-based presentation.

HistoryIntegration keeps everything at your fingertips.

Reports can be generated at anytime - showing where a chart/issue is in the process and the stages of the audit. Let the team know what is important and what is being done in real time with our Discussions capability.
